Position Summary
The Medical Assistant /MIST Coordinator is responsible for the overall coordination, oversight, and operational success of the MIST Therapy Program. This role serves as the primary liaison between Medical Assistants (MAs), providers, and leadership to ensure efficient patient management, staff performance, compliance, training, and program growth. The MIST Coordinator provides direct supervision and support to field staff, maintains programming tracking systems, monitors key performance indicators, and ensures the delivery of high-quality patient care and operational excellence.

Program Coordination & Patient Management
The Medical Assistant /MIST Coordinator is responsible for the overall coordination, oversight, and operational success of the MIST Therapy Program. This role serves as the primary liaison between Medical Assistants (MAs), providers, and leadership to ensure efficient patient management, staff performance, compliance, training, and program growth. The MIST Coordinator provides direct supervision and support to field staff, maintains programming tracking systems, monitors key performance indicators, and ensures the delivery of high-quality patient care and operational excellence.
Essential Duties and Responsibilities
Program Coordination & Patient Management
- Coordinate daily operations of the MIST Therapy Program.
- Maintain accurate records of all new, active, on-hold, and discharged MIST patients.
- Ensure all program spreadsheets and tracking tools are updated and maintained in real time.
- Coordinate patient scheduling to maximize efficiency and treatment compliance.
- Ensure providers receive regular communication regarding patient healing status and treatment progress.
- Assist with patient scheduling and field coverage as needed.
- Provide direct oversight and support to Medical Assistants assigned to the MIST program.
- Coordinate scheduling of MAs to maximize field productivity and operational efficiency.
- Arrange coverage for field staff during absences, vacations, or sick leave.
- Foster a positive, solution-oriented, and collaborative work environment.
- Promote a strong "can-do" attitude and culture of accountability within the team.
- Collaborate effectively with leadership and adapt to changing organizational priorities.
- Lead onboarding and training of new Medical Assistants.
- Conduct regular training sessions, weekly meetings, and performance coaching.
- Ensure training materials, protocols, and procedures remain current and effective.
- Coordinate additional training opportunities with supervising Medical Assistants and leadership.
- Clearly communicate job responsibilities, performance expectations, and workflow standards.
- Perform weekly audits of all program tracking tools and spreadsheets to ensure timely and accurate documentation.
- Track, investigate, and document complaints, concerns, and operational issues, including root causes and corrective actions.
- Ensure Medical Assistants maintain accurate documentation and comply with program standards.
- Maintain action plans and key performance indicators (KPIs) to measure program success and team performance.
- Monitor staff productivity and utilization to ensure working hours are used efficiently and effectively.
- Participate in and facilitate brainstorming sessions and feedback meetings to improve workflows, processes, and team performance.
- Collaborate with leadership to develop and implement new projects, initiatives, and operational enhancements.
- Ensure team members remain informed and aligned with organizational goals and program objectives.
- Fill operational gaps and provide direct support when necessary to ensure continuity of care and service excellence.
- Experience in healthcare operations, care coordination, medical assisting, or clinical program management preferred.
- Strong leadership, organizational, and problem-solving skills.
- Excellent communication and interpersonal abilities.
- Proficiency with Microsoft Excel and data tracking systems.
- Ability to manage multiple priorities in a fast-paced healthcare environment.
- Knowledge of clinical documentation standards and healthcare compliance practices.
- Demonstrated ability to lead teams, train staff, and drive accountability.
